Privacy Notice
Last updated: 14 September 2026
This notice explains what happens to the details you give us on this website. It is written to meet the transparency requirements of the EU General Data Protection Regulation (GDPR) and Japan's Act on the Protection of Personal Information (APPI).
1. Who is responsible
TN Product Co., Ltd. (brand: TILE PARK JAPAN)
2473-14 Hiromi, Kani, Gifu 509-0214, Japan
Email overseas@tn-corporation.com · Telephone +81-574-62-1311
We are the data controller. We have not appointed a Data Protection Officer; enquiries go to the address above.
2. What we collect, and when
We collect personal data only when you send us a sample request, an enquiry, or a request for our brochure through the forms on this site — including when you share your details with us after scanning the QR code on a staff member's name badge. There is no account, no login, and no newsletter.
You give us
- Your name
- Your company or studio
- Your email address
- Your department and job title (optional)
- Your telephone number (optional; required when you ask for physical samples, because the courier needs it)
- Your country (optional)
- Your professional role, if you select one (architect, interior designer, distributor and so on)
- The shipping address you type, when you request physical samples
- Your project description and message, if you write them (optional)
- Which tile colours you selected, with size and quantity
- Photos of your business card (the front, and the back if you add it), only if you choose to take them (see below)
Your business card (optional)
Both forms have a button to photograph your business card instead of typing. If you use it, the photo is sent to us and stored with your request, and an AI model reads the printed text (name, company, department, title, email, telephone, country, address, website) to fill in the form. The result is shown to you on screen so that you can correct it before you send anything. The photo is optional: you can type your details instead, and the form works the same way. Please photograph your own card only, not somebody else's.
Collected automatically with the submission
- The IP address the request came from
- Your browser's user-agent string
- The page address you submitted from, and the time of submission
These three are recorded once, with the submission, to help us investigate abuse of the form. They are not shown in the screen our staff use, and they are not used to profile you.
Stored on your own device, not sent to us
When you add a tile colour to your sample list, your browser remembers that list so it is still there if you close the page and come back. It stays on your device and reaches us only if you press send. You can clear it with the "Clear list" button. This is necessary for the feature you asked for, so we do not ask for separate consent.
What you must give us
Your name, email address and company are required — without them we cannot reply or tell one enquiry from another. A shipping address and a telephone number are required only if you ask for physical samples, because the courier cannot deliver without them. Everything else, including the business-card photo, is optional and only helps us answer you better. There is no statutory obligation to provide any of it.
What we do not do
This site runs no analytics, no advertising, and no tracking cookies. We do not know who visits, only who writes to us. Nothing is shared with advertising networks or data brokers. Fonts, images and scripts are all served from this site itself, so opening a page does not disclose your address to any third party.
3. Why we use it, and on what legal basis
| Purpose | Legal basis (GDPR Article 6) |
|---|---|
| Preparing and shipping the tile samples you asked for | Steps taken at your request before entering into a contract, Art. 6(1)(b) |
| Replying to your enquiry by email | Steps taken at your request, Art. 6(1)(b), and our legitimate interest in answering business enquiries, Art. 6(1)(f) |
| Reading your business-card photo to fill in the form for you | Steps taken at your request, Art. 6(1)(b) — you choose to take the photo |
| Keeping a record of what was requested and sent | Our legitimate interest in an accurate business record, Art. 6(1)(f) |
| Investigating abuse of the form | Our legitimate interest in protecting the service, Art. 6(1)(f) |
We do not use your details for marketing unless you separately ask us to.
4. Where it is stored, and who can see it
Your submission is stored in Amazon Web Services in the Tokyo region of Japan (ap-northeast-1). AWS acts as our processor and does not use the data for its own purposes.
Inside our company, the data is visible to a small, named group of sales staff who handle sample requests. Access requires an individual account and password, and each viewing is logged. We also receive a notification email when a request arrives.
We do not sell your data, and we do not share it with third parties. If shipping a sample requires a courier, we give that courier only the delivery address, your name and your telephone number.
If you photograph your business card, the photo is stored in the same Tokyo region, in a private store that is never publicly reachable. The printed text is read by an AI model (Claude, by Anthropic) running on Amazon Bedrock, an AWS service. To do this AWS may run the model in another AWS region in the Asia-Pacific area; the photo is not kept there, is not used to train any model, and is not disclosed to Anthropic. Our staff see the photo only inside the same logged-in screen as the rest of your request.
Transfers outside the EU
If you write to us from the European Economic Area, your data is transferred to Japan. The European Commission has decided that Japan provides an adequate level of protection for personal data (adequacy decision of 23 January 2019, confirmed on review in 2023), so no additional safeguards such as standard contractual clauses are required for this transfer.
5. How long we keep it
We keep sample requests and enquiries for 24 months from the date you sent them, then delete them. A business-card photo is deleted together with the request it belongs to. If you photograph a card but do not press send, the photo is deleted automatically within 24 hours. If your request leads to an order, the commercial records that follow are kept separately for the periods required by Japanese tax and company law.
6. Your rights
If the GDPR applies to you, you may ask us to:
- tell you what we hold about you, and give you a copy;
- correct anything that is wrong;
- delete it;
- restrict how we use it;
- give you your data in a portable form.
Write to overseas@tn-corporation.com. If you noted the reference number shown on screen after you submitted the form, please include it so we can find the right record; if not, your name and email address are enough. We answer within one month.
Your right to object
Where we rely on legitimate interest (the last two rows of the table in section 3), you have the right to object at any time to our use of your data on grounds relating to your particular situation. Tell us and we will stop, unless we can show compelling legitimate grounds that override your interests.
You also have the right to complain to a data protection authority — in the EU, the authority in the country where you live or work; in Japan, the Personal Information Protection Commission.
7. If we email you
We reply from overseas@tn-corporation.com, the address shown throughout this site and in our printed brochure. We may also send a one-time message confirming what you just sent us, from info@tileparkjapan.com, with replies directed to the address above. Either way it concerns the request you made, so there is no subscription to cancel. If an address bounces or its owner marks our message as spam, we stop contacting that address.
8. Changes
If we change this notice we will update the date at the top. Material changes affecting people whose data we already hold will be notified by email.
